The idea behind building your pivot table using an external data source is that you can create and use a pivot table<\/strong> from a database that is not stored in your Excel workbook. This means you can create a pivot table without having data in your Excel workbook. User can create a pivot table<\/strong> of large Excel file without opening it physically which also saves a lot of working memory since files are not opened physically. This is ultimately one of the best techniques to work with large database pivot table<\/strong>. Although, Power Pivot<\/strong> can be the best alternative but it is not supported by all Excel version directly and common users are not well-versed with this Add-Ins. Another drawback of Power Pivot is that it uses a large volume of memory.<\/p>\n

Below are the steps to create a Pivot Table by using an existing external data connection:<\/p>\n

  1. Click any cell on the worksheet.<\/li>\n
  2. Click\u00a0Insert<\/strong>>\u00a0PivotTable<\/strong>.\"\"<\/a><\/li>\n
  3. In the\u00a0Create PivotTable<\/strong>dialog box, under\u00a0Choose the data that you want to analyse<\/strong>, click\u00a0Use an external data source<\/strong>.\"\"<\/a><\/li>\n
  4. Click\u00a0Choose Connection<\/strong>.<\/li>\n
  5. Browse for More<\/li>\n
  6. New Source<\/li>\n
  7. ODBC DSN Next<\/li>\n
  8. Select ODBC from list and then Next<\/li>\n
  9. Select DSN from list (refer to last para to create user DSN)<\/li>\n
  10. Select particular sheet from list(if DSN is based on Excel workbook)<\/li>\n
  11. Click Ok\/Finish<\/li>\n
  12. Now you can proceed for Pivot Table<\/li>\n<\/ol>\n

    Excel adds an empty PivotTable and shows the Field List so that you create own layout for desire Pivot Table report.<\/p>\n

    How to create an User DSN(Windows 8\/10)<\/u><\/strong><\/p>\n

    Note<\/strong>– User DSN is mandatory Create a PivotTable with an external Data Source.<\/p>\n

    1. Go to Control Panel.<\/li>\n
    2. Select Administrative Tools.<\/li>\n
    3. Double click Data Source ODBC.<\/li>\n
    4. In the\u00a0ODBC <\/strong>Data Source Administrator dialog box, select the System\u00a0DSN<\/strong>\u00a0or User\u00a0DSN<\/strong><\/li>\n
    5. Click Add. …<\/li>\n
    6. Locate the necessary driver in the list and click Finish.<\/li>\n
    7. Then complete final step of DSN creation.<\/li>\n<\/ol>\n
